Frequently Asked Questions
How long should I wait before escalating?+
It depends on the deadline pressure. For issues with a hard deadline within 2 weeks, escalate after 2-3 failed resolution attempts (typically 48-72 hours). For issues with longer timelines, give it 1-2 sprints. The key question is: "If I wait another week, does the impact get significantly worse?" If yes, escalate now.
What if my manager does not want me to escalate?+
Some managers view escalation as a reflection of their team's inability to resolve problems. Have a direct conversation: "I have tried X, Y, and Z over the past two weeks. The deadline is [date]. I believe we need [Name]'s authority to resolve this. Do you want to escalate it, or should I?" Give them the option to own the escalation themselves.
How do I track escalation patterns over time?+
Maintain a simple log: date, issue type, root cause, resolution time, and whether the same type of issue recurs. After a quarter, patterns emerge. If 60% of escalations are resource conflicts between the same two teams, the fix is structural (shared planning, dedicated allocation), not more escalations. Share this analysis with leadership as part of your [stakeholder review](/templates/stakeholder-review-template).
Should I escalate over email or in a meeting?+
Send the Escalation Brief in writing first. This gives the escalation target time to read and consider before responding. Follow up with a 15-minute meeting if the written brief does not produce a decision within 48 hours. Written briefs also create an audit trail for the decision. ---
