Frequently Asked Questions
Should we build a custom donor portal or buy an existing CRM?+
It depends on your scale and budget. Organizations with under 5,000 donors and standard workflows should evaluate existing platforms (Bloomerang, Little Green Light, Salesforce NPSP) before building custom. If your workflows are unusual (complex matching gift programs, multi-entity fund accounting, custom impact reporting), a custom portal may be justified. Use the [build vs. buy framework](/guides/how-to-build-a-product-roadmap) to structure the decision.
How do we handle PCI compliance for payment processing?+
Never store raw credit card data. Use a PCI-compliant payment processor (Stripe, Braintree) and their hosted payment fields or tokenization. Your portal handles donor records and gift metadata. The payment processor handles card data. This reduces your PCI scope to SAQ-A or SAQ-A-EP, which is manageable for most nonprofit tech teams.
How do we migrate data from our existing system?+
Start with a data audit of your current system. Map fields from the old system to the new schema. Prioritize accuracy for: donor contact info, gift history (last 3-5 years minimum), recurring gift details, and communication preferences. Plan for 2-4 weeks of data cleanup before migration. Run both systems in parallel for one month after migration to catch discrepancies. Track your progress with a [product roadmap](/guides/how-to-build-a-product-roadmap).
What metrics should the donor retention dashboard show?+
Focus on retention rate (% of last-year donors who gave again), upgrade rate (% who increased gift size), average gift size by segment, donor lifetime value, and LYBUNT count. These five metrics give a development director a full picture of fundraising health. Add campaign-specific ROI for direct mail, email, and event campaigns. Review [standard product metrics](/glossary/aarrr-pirate-metrics) for additional measurement approaches.
How do we get donors to actually use the self-service portal?+
Start with the highest-value feature: year-end tax receipts in January. Send donors a personalized email with a direct link to download their receipt. Once they have logged in, they will see their giving history and recurring gift management. Major donors (top 100) should get a personal walkthrough from their relationship manager. Track portal adoption as a product metric. ---
