Product Ops Automation Template

For most product ops teams, Zapier or Make handles 80% of needs. Use Zapier if your team is non-technical and values simplicity. Use Make if you need more complex logic (conditionals, loops, data transformation) at lower cost. Use n8n or custom scripts if you need self-hosted infrastructure or very complex workflows. Start simple and migrate to more capable tools only when you hit limitations.

Track two things: hours saved per week (multiply by the blended hourly rate of the people whose time is freed up) and error reduction (fewer missed feedback items, faster metric reporting, more consistent launch coordination). The hours-saved number is easiest to measure and most compelling to leadership.

Most modern SaaS tools have APIs or webhooks. For tools that do not, check if they support CSV export on a schedule, email notifications (which can trigger Zapier zaps), or browser extension automation (Bardeen, Selenium). There is no fixed number. A good benchmark is 5-10 active automations for a team of 8-15 PMs. Below 5, you are likely doing too much manually. Above 15, maintenance overhead becomes significant. Focus on the automations that save the most hours and have the highest reliability. ---
