What wiki platform should we use?+
Notion works well for product and cross-functional teams (flexible, good search, easy onboarding). Confluence works for enterprises already on Atlassian. GitBook or docs-as-code works for engineering-heavy teams who prefer version control. The platform matters less than the structure and governance. Pick one, commit to it, and focus on content quality.
How do we get people to actually use the wiki?+
Make it the default answer to "where is X?" When someone asks a question in Slack that is answered in the wiki, reply with a wiki link instead of re-explaining. Integrate the wiki into onboarding: new hires should complete a scavenger hunt that requires finding answers in the wiki. Recognize people who contribute. Should meeting notes go in the wiki?+
Only decisions and action items from meetings belong in the wiki. Raw meeting notes (who said what, full transcripts) should live in a separate space. The wiki is for reference knowledge, not conversation archives. Extract the decisions and link to the full notes if needed.
How do we handle conflicting information across pages?+
This happens when two pages cover overlapping topics. The fix is clear ownership and regular audits. When a conflict is found, the page owners meet, agree on the source of truth, and either merge the pages or add a clear cross-reference. Prevent it by requiring a search before creating any new page. How large should a wiki page be?+
One page should cover one topic. If a page exceeds 2,000 words, consider splitting it into a parent page with links to sub-pages.
